Job Summary: Assists Project Managers/Estimators in all aspects of project management from the bidding process through the closeout process of construction projects
Essential Functions:
- The submittal process: preparing, submitting, and distributing, etc.
- The closeout process: coordinating start-ups, maintaining commissioning checklists, coordinating owner s training, preparing operation and maintenance manuals, and coordinating other project closeout requirements.
- Document control: setting up job folder, maintaining various logs, preparing and submitting RFI s, maintaining drawing changes, and various other communications.
- Working with a team.
- Organizes documents and communicates with vendors, contractors, architects and engineers during the submittal process regarding shop drawings, material data, samples, and product data. Works with purchasing and the PM s throughout the entire submittal process until an approved status has been reached for the submittals.
- Tracks material and equipment PO lead times against schedules for each major project and notifies PM of deadlines and critical project milestones
- Works with the PM group to standardize processes, documents and methods in this department
- Keeps information organized and stored in Dropbox and Procore as well as in binders, for each project
- Attends project meetings takes meeting notes and creates meeting minutes
- Coordinates between the CAD group, FAB shop and project managers
- Performs other relevant and related duties in this role
- Assists PM with preparing documentation for subcontracts and change orders
Education:
- High School Diploma, Project Management College Level Classes preferred
Knowledge, Skills and Abilities:
- Minimum 1 year of experience as Project Assistant or equivalent
- Strong attention to detail
- Ability to work in a team environment
- Strong time management skills
- Ability to meet deadlines
