Full Time Scheduler/Patient Services Representative

JOB SUMMARY

This position will require heavy telephone calls inbound and outbound. This includes scheduling appointments and completing other tasks and relay those calls to the medical team. The successful applicant should have extensive telephone/call center experience and has worked in a medical setting or office. The successful person must be very detail oriented and organized and able to multitask. This position will be 5 days per week with most shifts assigned to telephone scheduling and clinic triage but may include occasional front desk shifts as needed.

Patient Service Representatives must ensure that all procedures, from maintaining the correct patient files to charting insurance information, are closely followed so that the medical team can concentrate on the well-being of the patients.

Specific Scheduler/Patient Service Representative Job Duties:

  • Greet patients and visitors in a courteous and friendly manner.
  • Maintain all referrals in an organized manner ensuring that each referral received is called on promptly and scheduled.
  • Screen calls, arranges appointments and referrals.
  • Prepares new records, re-files, and maintains records in EHR system.
  • Accurately type and send patient messages to clinical team.
  • Perform insurance verifications.
  • Take clear and concise phone messages.
  • Schedule and confirm appointments daily.
  • Collect co-pays, deductibles and inquire on previous balances at both check in and check out.
  • Create new patient packets and collect and scan at time of appointment
  • Act as Patient Advocate effectively explaining benefits with focus on the financial impact of the company.
  • May be asked to travel to other locations in Colorado Springs or Pueblo to cover shifts during time of personnel shortages.
  • May train new and existing employees.

  • Previous medical office experience required
  • Ability to comprehend established office routines and policies
  • Ability to keep financial records and perform mathematical tasks
  • Knowledge of medical terminology
  • Understand HIPAA and OSHA regulations and privacy practices
  • Good organizational skills and multi-tasked abilities
  • Computer skills, including intermediate Excel skills
  • Must be able to learn quickly from oral and written instructions
  • Must be dependable and must have a reliable method of transportation
  • Must be able to provide proof of car insurance upon hire.*

Personal Qualities:

  • Must maintain highly professional disposition at all times. Able to work well under pressure.
  • Ability to communicate well with people in personal contacts and on the phone.
  • Can be trusted with confidential information.
  • Can effectively act as a liaison between patients and physicians.
  • Must have a neat, professional and friendly appearance.
  • Spanish/English Bi-lingual is a plus.

Supervisory Relationship: Reports to Business Office Manager. No direct reports.

  • Assist with patient registration and insurance verification
  • Collect co-pays and process payment
  • Maintain patient confidentiality and ensure HIPAA compliance
  • Retrieve and file medical records as needed
  • Assist with administrative tasks such as data entry, filing, and scanning documents

Experience:

  • Customer service: 1 year (Preferred)
  • Computer skills: 1 year (Preferred)

Placement: Contract to Direct

Pay: $17.50

Schedule: 8 hour shifts Monday to Friday between 7:30am and 6pm

Primary Location

Nevada and Fillmore

Additional locations for coverage:

Briargate and Union approximately once a week

Canon City - approximately once a month

This position is an hourly position. This is an "in office" position and cannot be done remotely or from home. Must be able to work until 6 pm on Tuesdays and have reliable transportation to be able to work at other locations in Southern Colorado. Mileage and time will be compensated.

This position is "At-Will", meaning that both the employee and the employer have the right to suspend or end employment at any time with or without cause or notice.
