Role Overview
Seeking an AI & Systems Integrator to work on-site and hands-on to design, build, and continuously improve the internal systems that support our business. This role is focused on execution, iteration, and ownership. The ideal candidate enjoys building systems, connecting tools, and using AI and automation to reduce manual work and improve clarity and efficiency across teams.
This is not a theoretical or advisory role. We are looking for someone who can take ideas, build working solutions, test them, improve them, and then move on to the next opportunity.
Key Responsibilities
AI and Automation Implementation
Design and build AI-powered workflows that streamline operations and reduce manual effort. Integrate AI tools such as ChatGPT, Gemini, Claude, or similar into real business processes. Connect software platforms using automation tools such as Zapier, Make, or native integrations. Implement systems related to CRM workflows, job setup, project folders, proposals, documentation, internal handoffs, client communication, and data entry reduction. Build quickly, validate functionality, and improve through iteration without over-engineering.
CRM Setup and Optimization
Support the implementation and optimization of the company CRM. Connect the CRM with related tools such as email, documents, and scheduling platforms. Use AI to assist with notes, summaries, follow-ups, and data cleanliness. Help make the CRM practical, intuitive, and useful for sales and operations teams.
Process Improvement Before Automation
Review existing workflows objectively to identify inefficiencies, redundancies, or unnecessary steps. Propose simpler ways of working before automating processes. Challenge systems that no longer serve the business and help eliminate processes that add complexity without value.
System Ownership and Iteration
Take ownership of the systems and workflows you build. Monitor performance after launch and make incremental improvements over time. Document systems clearly so they are usable by the team. Ensure tools remain functional, relevant, and aligned with how the business operates.
Team Enablement
Create simple guides, templates, and prompts for internal use. Help team members understand and adopt systems you ve built. Prevent fragmented or inconsistent use of AI tools across the company. This role is not IT support, but it does require ensuring systems are usable and understood.
What This Role Is Not
This position is not remote or hybrid. It is not a virtual assistant or administrative role. It is not a purely strategic or advisory position. It is not a role for someone who needs perfection before progress.
Ideal Candidate Profile
Enjoys building systems and improving them over time. Comfortable experimenting, testing, and iterating. Able to take high-level ideas and turn them into working workflows. Naturally curious about AI, automation, and new tools. Able to explain technical concepts in plain language. Takes ownership and responsibility for outcomes.
Skills and Experience
Experience working with SaaS tools and software integrations. Familiarity with AI tools and prompt-based workflows. Experience using automation platforms such as Zapier or Make. Strong process thinking and organizational skills. Comfortable working in person with leadership and cross-functional teams. Formal AI or computer science credentials are not required. Practical execution ability is more important than titles or certifications.
