Administrative Assistant Foster Care Program

Overview:
The Administrative Assistant supports the daily operations of the foster care program by providing high-level administrative support, with a strong focus on documentation, compliance, and confidentiality. This role requires an organized, detail-oriented individual who understands the importance of accuracy and timeliness in a highly regulated and sensitive environment.
Key Responsibilities:
- Document Management Excellence: Maintain accurate, organized, and up-to-date program files, including intake forms, placement records, and case documentation. Ensure all documents are properly stored, labeled, and retrievable in both digital and physical formats.
- Policy & Compliance Oversight: Demonstrate a thorough understanding of program policies, state regulations, and child welfare standards. Ensure that all submitted documents meet regulatory compliance and are formatted correctly according to internal protocols. (Preferred)
- Deadline-Oriented Workflow: Monitor due dates and timelines for case-related documentation, state reporting, and internal submissions. Proactively manage schedules to ensure all reports, forms, and filings are completed and submitted by the required deadlines.
- Technology Proficiency: Utilize Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint) for correspondence, data entry, report creation, calendar scheduling, and collaborative communication across departments.
- Confidentiality & Integrity: Handle sensitive client and family information with the utmost discretion. Adhere strictly to confidentiality requirements and ethical standards in all administrative tasks, ensuring trust and compliance with HIPAA and agency protocols.
Qualifications:
- Previous experience in an administrative or office support role, ideally within a human services, nonprofit, or government setting. (Preferred)
- Strong organizational skills and attention to detail.
- Familiarity with Colorado foster care policies or willingness to learn regulatory frameworks. (Preferred)
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a multidisciplinary team.
- High level of integrity and professionalism.
Schedule: Monday to Friday 8am to 5pm.
Pay: $19
Placement: 12 week coverage for leave, possibility of extending for longer or turning into Contract to Direct
