JOB SUMMARY:

The Specialist, HR FMLA/Leave will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Colorado Paid Family Medical Leave Act (FAMLI), the Americans with Disabilities Act (ADA), and any state/ local leave laws, and short-term or long-term disability plans.

ESSENTIAL FUNCTIONS:

  • Administers FMLA/CO-FAMLI leave programs from the employee s initial notice of the need for leave to their return to work. This includes but is not limited to gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, applying eligible time off accruals, and accounting for intermittent and reduced schedule leave use.
  • Administers the interactive, reasonable accommodation process and program under the ADA. This includes but is not limited to gathering and completing all required paperwork, determining accommodation eligibility, requesting clarification from the employee/doctor, and letter of denial/approval.
  • Communicates with employees regarding their needs for leave, accommodations, temporary modified work schedules and/or modified duties and responsibilities.
  • Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for a leave or accommodation.
  • Maintains communication with employees on leave to facilitate smooth and timely return to work; communicates with employees throughout the accommodation process; and relays communication between employees and their managers within reason.
  • Advises managers and employees on accommodation laws and the interaction of leave laws with paid time off, and short-term and long-term disability benefits. Works in collaboration with the Risk department for those on Workers Compensation.
  • Oversees the return-to-work process for employees returning from extended FMLA, or other leave(s).
  • Facilitates other leave requests, which may include extensions granted through the accommodation process under the ADA.
  • Administers other time-off programs as assigned in accordance with internal policy and applicable laws.
  • Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserves confidentiality of employee medical documentation and files.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Advises the Benefits Manager of significant events or situations that could negatively affect the company and those events where an employee or department has positively affected the company.
  • May receive and assist distribution of faxes from the HR fax line.
  • Performs other duties as assigned.

QUALIFICATIONS:

Education:

  • Bachelor s degree in human resources or related field preferred; An equivalent combination of education, training, and experience may be considered.
  • Completion of specialized certification or training on FMLA/leave/ADA administration a plus.

Experience:

  • Minimum two (2) years of human resources and leave administration experience required.

Other:

  • Extensive knowledge of leave requirements and other legal protections afforded by the FMLA, FAMLI, ADA, and other applicable laws.
  • Must have strong skills with computer applications, such as Microsoft Teams, Outlook, Word, Excel, and PowerPoint.
  • Must have excellent written and verbal communication skills and analytical and problem-solving skills.
  • Must have a high level of attention to detail and organizational skills.
  • Must have demonstrated success within the value of people matter through active listening, expectation setting and timely, consistent follow up.
  • A valid Colorado driver s license without a history of violations is required*.
